Draft support replies with the relevant policy beside them

Use approved FAQs and previous replies to prepare a sourced response draft, identify missing information, and give specialists a useful handoff.

Who it is for
Customer support and internal service desks
Example output
A reply draft, sources, and handoff notes
Human decisions
Account terms, exceptions, and sending

These workflow designs were prepared by Atlas Support. They are illustrative examples, not client implementations or measured results.

The challenge

Even common questions can have different answers depending on the product or contract. Searching across several documents adds preparation time and can produce inconsistent advice.

This scenario assumes approved FAQs, clear response policies, and recurring questions. If the policies are not documented, preparing them is an earlier step.

Information to prepare

Define the source owners, document dates, and permitted readers before choosing the retrieval scope.

InputWhat to check
Incoming requestIdentify the question and missing details
Approved FAQs and policiesCheck evidence and applicable conditions
Reviewed previous repliesFind examples of approved communication
Escalation rulesIdentify who can decide exceptions

The workflow

Adapt the following responsibilities to the team's existing workflow.

StepAI and system roleHuman role
Understand the requestClassify the question and extract missing informationConfirm permitted access to account details
Find supporting guidancePresent relevant FAQs and policiesResolve conflicting rules

Handle exceptionsSummarize what was checked and what remains unknownHave the responsible specialist decide the exception

An example output

The following example was written around fictional source material. It is not customer data or output from a deployed system.

Human review and operating conditions

Missing evidence and conflicting policies trigger human review. Drafts exclude unnecessary personal information. Refunds and contract amendments are not finalized by AI alone in this design.

Evaluate a narrow pilot

A possible evaluation uses around thirty recent requests, including answerable questions, missing context, conflicting policies, and cases requiring individual judgment. Apply the same quality criteria to conventional and assisted replies.

Thirty requests is an example evaluation scope, not a completed test. Assess response quality and review effort together rather than relying on the number of requests processed.

MeasureWhat to record
Time including reviewResearch, drafting, checking, and correction time
Response qualityAgreement with sources, required edits, and incorrect advice
Escalation qualityMissed necessary escalations and unnecessary handoffs

Explore the next step with Atlas Support

Describe recurring request categories, response documents, and escalation rules. Agree on how personal information will be handled before sharing original messages.

Depending on the agreed scope, we can map the workflow, review data and access, build a prototype, and define evaluation criteria. The evidence then informs the operating scope and remaining issues.

Discuss this workflow

Tell us about one recurring task and the types of documents your team uses. We can help define the scope and the evidence needed for a first evaluation.
