Where the work gets difficult
Client meetings lead to job descriptions, candidate interviews lead to records, and referrals require another check of the terms. Recruitment and staffing teams handle a series of writing and review tasks around each conversation. When several people share responsibility, updated requirements and the next contact date can remain in separate records.
This example uses AI to organize job requirements, facts recorded in interviews, and unanswered questions in a consistent format. Recruitment teams can use it to support handovers between client and candidate advisers; staffing teams can use it to share information from job intake through assignment follow-up.
Start with these materials
Start with the applicant tracking system (ATS), customer relationship management system (CRM), job descriptions, and interview notes already in use. Integration depends on the existing systems. An initial trial can use sample records with a limited set of fields.
| Material | What to check |
|---|---|
| Job descriptions and client meeting notes | Duties, required and preferred qualifications, location, working hours, update dates, and unresolved terms |
| CVs and interview notes | Experience and preferences stated by the person, record dates, permitted uses, and sharing scope |
| ATS and CRM activity records | Job, candidate, and worker identifiers; owners; progress; and the next planned action |
| Assignment follow-up records | Confirmed working conditions, contact dates, and items the coordinator needs to check before renewal |
| Internal record formats and message templates | Required fields, reviewers, and the steps before external communication |
How AI and the team share the work
Choose one task to trial: job intake, interview records, checks before a referral, or assignment follow-up. Keep the existing management system as the source of record and prepare information that a person can review and hand over.
| Stage | AI and system role | Team role |
|---|---|---|
| Receive a job request | Draft requirements and a job description from client notes; flag missing or conflicting terms | Separate required and preferred qualifications and confirm working conditions and wording with the client |
| Record an interview | Organize experience, preferences, and next actions from permitted notes, with references to the original text | Check the meaning of the statements and record the person’s preferences accurately |
| Prepare for a referral | Compare the job and interview notes selected by the adviser; show relevant passages and unanswered questions for each requirement | Ask follow-up questions and decide on job proposals, client referrals, and placements |
| Coordinate and follow up | Create action lists from recorded dates and status; draft scheduling and assignment follow-up messages | Review recipients, timing, and wording before contacting anyone; agree on renewal terms and next steps |
What the output could look like
These examples use fictional job and interview notes. They are not real candidate records or output from a running system. They show how review items could be recorded at different stages of recruitment and staffing work.
| Item | Example entry | Source or status |
|---|---|---|
| Job requirement sheet | Sales administration role requiring order processing experience. Confirm the system used and the handover period with the client | Job description A and client meeting note B. Missing terms remain open |
| Interview record | Order processing experience stated. Confirm the system used and the scope of responsibility at the next interview | Interview note C. Separate the person’s statements from proposed questions |
| Checks before a referral | The job specifies five days on site; the candidate prefers some remote work. Confirm the conditions with both parties | Job description A and interview note C. The adviser decides whether to proceed |
| Interview scheduling draft | At our next meeting, we would like to confirm the scope of your experience and your preferred working arrangements. We will send proposed times | Draft for the next interview. The adviser supplies the times and recipient |
| Assignment follow-up draft | Prepare a check-in on the current assignment, changes in duties, and points to discuss before the next renewal | Fictional follow-up schedule D, with a review date and an assigned coordinator |
Review and operating conditions
Keep identifiers, record dates, and source references so reviewers can check for outdated terms and information belonging to another person. Match AI access to the adviser’s permissions and use only the information needed for the task. If recordings or transcripts are used, define consent, purpose, and retention before introducing them.
This example organizes explicitly stated experience and preferences and leaves unknowns open for review. It does not score suitability or decide hiring outcomes. People remain responsible for referrals, placements, and external communication. The workflow does not infer suitability from characteristics such as age or gender.
Run a small trial and evaluate it
Begin with one task, such as turning interview notes into a draft ATS record. Check the required fields using samples with identifying details removed, then define the scope of an operational trial once the permitted use and review process are in place.
Compare the full task with the current process, including reading the source, reviewing, correcting, and registering the record. Assess referral volume and placement rates separately; less time spent on records does not by itself demonstrate more placements.
| Measure | What to record |
|---|---|
| Recording and preparation time | Total time for reading, drafting, correcting, and registering information in the ATS or CRM |
| Record accuracy | Statements the person did not make, misread conditions, and outdated job information |
| Missing review items | Missing required fields and questions added by the reviewer |
| Follow-up completion | Overdue actions, duplicate contacts, and missed handovers |
What to discuss with Atlas Support
Tell us whether the workflow is for recruitment or staffing, which stage takes the most effort, the ATS or CRM in use, and the current record format. There is no need to send CVs or personal information with the initial inquiry.
Depending on the scope, support can cover workflow mapping, fields and reference materials, a draft review interface, integration options, prototyping, and evaluation. Start with one output the team can review and establish the conditions for taking it into operations.
