AI for Property Inquiries: Draft Replies from Listing Information

Questions about rent, amenities, and move-in dates require checking listing sheets and property records. This example shows how AI can connect questions to sources and prepare a reply for the responsible person to verify and send.

Workflow
Prepare initial replies to questions about a property
Prepared output
A reply draft with references and pending checks
Use case
Property agency inquiry and sales teams

An illustrative workflow and fictional sample designed by Atlas Support. Referenced organizations are not presented as our clients, partners, or implementations.

What AI can prepare for this workflow

The scope is organizing questions received by email or a form and drafting answers from available property information. Each answer retains its reference and unresolved questions for the person preparing the reply.

Recorded rent and amenities can be organized with their sources. Availability, viewing slots, and additional fees need current checks. Phone conversations or booking confirmation require a separately defined integration and approval process.

Information to prepare

Start with one property and historical inquiries. Match property identifiers and update dates before combining records.

InputRequired informationCheck
InquiryQuestions, property ID, stated preferencesKeep questions separate from preferences
Listing sheetRent, service charges, amenities, move-in datesVersion and current validity
Property recordID, availability, verification timeDifferences from the listing sheet
Reply rulesApproved wording, contacts, responsible personConditions requiring a pending answer

How AI and the responsible person work together

Separate supported answers from questions requiring confirmation, then review the sources before sending.

What the responsible person checks

Verify calculations, units, and monthly versus initial charges. When sources conflict, the responsible person decides which information is valid.

Treat availability or bookings as confirmed only after checking the responsible system or person. Return unstated conditions as questions instead of adding them to the customer's preferences.

Pilot the workflow and include review and correction time

Use a small set of historical inquiries with checked answers. Include search, verification, and correction time in the comparison.

Factual agreementCompare fees, amenities, and availability with originals
HandoffWhether unknowns stayed pending and had a clear contact
Preparation timeTotal retrieval, review, and correction time

Is a property-management integration required?

A pilot can start with verified information in CSV or documents. Before using frequently changing availability, define the integration, update frequency, and handling of unavailable data.

Can replies be sent automatically?

Start with human review and sending. Evaluate current-data access and escalation conditions before deciding which replies could be sent automatically.

Public sources informing the design

Mitsui Fudosan Realty's January 2026 announcement describes an AI chat service that reads property-detail information. This example applies the idea of matching questions to property facts to a reply draft with human review. Source checked October 12, 2026.
